Create a visitor record for a planned visit, then assign visitor schedules that cover the intended doors and hours. Keep visitor setup separate from employee onboarding.
You'll need permission to manage visitors and assign schedules, the visitor's contact details, their host, and their arrival and departure times. A suitable Visitor Schedule must already cover the intended doors and hours. If you need a new one, ask your schedule administrator to prepare it using Set up schedules. For holiday dates, see Set up holidays.
Choose the visitor's access
- Open Schedules → Visitor Schedule and select the schedule you intend to use.
- Review its When entries for the allowed dates, days, hours, and holiday choice.
- Review Where for the included doors. Choose schedules that cover only the doors the visitor needs.
The visit dates and the selected schedule are separate settings. Review both when planning temporary access; a schedule name alone does not tell you which doors or times it covers.
Add the visitor
- Open People → Visitors and select Add Visitor.
Select Visitors for temporary visitor records. Select the image to view it full size. - Enter First Name, Last Name, Email, and the visitor's mobile number. Check the contact details before sending a credential or invitation.
- If needed, use Upload Picture or Take Picture to add a profile picture. A profile picture does not replace face-credential enrollment.
- Set Arrival Date and Time and Departure Date and Time for the visit, then select the Host.
- Select Create to continue to Assign Door Access.
- In Visitor Schedule(s), select the schedules you reviewed. Select Create to finish. Skip creates the visitor without these schedule assignments; use it only when access will be assigned later.
- On Visitor Info., review Basic Information and Assigned Schedule(s) for the saved visit and access assignments.
Provide the entry credential
Schedule assignment defines the intended access; the visitor also needs a supported credential. For a temporary access link, use Create and manage Cloud Keys from the visitor's Credentials section. Set the key's validity to match the intended visit and give the visitor the instructions for using it.
Change or shorten a visit
- Open People → Visitors, select the visitor, and open Visitor Info.
- In Basic Information, change the visit dates, host, or contact details as needed, then select Update.
- Review Assigned Schedule(s). Open a schedule by its name to check its hours and doors. If an assignment is no longer needed, use that row's remove control and confirm Remove.
- If a Cloud Key was issued, open Cloud Key → Details and review its validity and status separately. Follow Create and manage Cloud Keys to deactivate a key that should no longer be used.
Do not treat a saved departure time as confirmation that every existing credential has stopped working. For an unexpected entry or denial, use Find door activity and access-denied events and report the visitor, door, time, and recorded result to your administrator.
