Use a group to give several employees the same scheduled door access. Create a group only when you need a distinct set of members; an existing group can serve each new employee who needs that access.
You'll need the Full Access role. Create employee records first if you want to select members during group setup. Have the intended access schedule ready, or use Set up schedules to create one.
Create a group
- Open the main menu and select Groups → Add Group.
- Enter a Group Name (for example, "Office Staff") and an optional Description.
-
Under Access User(s) (Optional), select any existing employees who belong in this group. You can leave this empty and add members later.
Name the group and choose any existing members before selecting Create. Select the image to view it full size. - Select Create.
Creating a group does not by itself define doors or hours. The next step links the group to a credential-access schedule.
Link the group to an existing schedule
- Open the main menu and select Schedules → User Schedule.
- Open the schedule that should apply to this group. Review When for its hours and dates, and Where for its doors or zones.
- In Who, select Authorized Group(s). Open the section menu and select Add.
- Select the group under Authorized Group(s), then select Add Group(s).
Note: A schedule with Open Door Automatically? set to Yes has no Who section. It controls automatic opening for everyone. For group credential access, use a schedule created with that choice set to No.
All members inherit the schedules linked to the group. Before adding another schedule, check that its doors and hours are appropriate for the whole group. See Set up schedules for schedule creation and Set up holidays for holiday choices.
Add or remove members
- Open Groups and select the group.
- In Users in the Group, open the section menu and select Add.
- Select the employees under Authorized User(s), then select Add User(s).
To assign one employee from their user record instead, follow Add and manage users → Assign an existing user to a group. These are two routes to the same membership task.
To remove a member:
- Open People → Users, select the employee, and open User Info.
- In Assigned Group(s), select the removal icon beside the group.
- Review the group name in Confirm Removal, then select Remove.
Other group memberships or direct schedule assignments can still give that person access. Use Remove a person's access for offboarding.
Change the group name or description
- Open the group and find Basic Information.
- Change Group Name or Description, then select Update.
