Send a Cloud Key when someone needs a temporary link for door access. The recipient receives a link and PIN by email or text and uses the link's door controls. A Cloud Key is separate from the credential used by the Anavio mobile app.
You'll need permission to manage credentials and an existing user or visitor with the intended schedule assignments. Check their contact details and the schedule's doors and hours first. Use Add and manage users or Manage visitors and temporary access if the person has not been added.
Create and send the key
- Open People → Users or People → Visitors and select the recipient.
- Open User Info. or Visitor Info. In Credentials, open Cloud Key → Add.
- In Add Cloud Key, select Email, Mobile, or both. These choices use the email address and phone number displayed for that person; Mobile sends a text message.
- Set Valid From and Valid To to the dates and times when the link should be usable. Valid To must be later than Valid From.
- Select Use One Time Only if you want a single-use key. Leave it clear when the recipient needs repeated use during the validity period.
- Review the recipient and validity, then select Send.
The key uses the doors allowed by the person's schedule assignments. Its validity period does not grant access to additional doors or replace those assignments. Keep the link and PIN private.
Use the link you received
- Open the Cloud Key link in the email or text message.
- Enter the supplied PIN in Cloud Key PIN.
- Find the intended door and select its Click to Unlock Door control. A door marked Disconnected is unavailable from this page.
- Check the response and whether entry is possible. A successful request does not by itself confirm that the physical door released.
If the page reports an invalid PIN or the key is unavailable, contact the administrator who issued it. Provide the message and intended door without forwarding the link or PIN to other people.
Review or deactivate a key
- Return to the person's Credentials section and open Cloud Key → Details.
- In Cloud Key Logs, identify the key by VALID FROM and EXPIRES ON. Review ONE TIME USE, SENT BY, and STATUS.
- For an active key you want to withdraw, select its Deactivate control.
- Read Confirm Cloud Key Deactivation and select Delete to confirm. Recheck the log after the request completes.
If a link was exposed, involve your administrator and contact support through Find system details and contact support; do not rely only on issuing another key.
