A workflow connects an event to an action. Use an alert workflow to select which door or camera events need attention, when the workflow applies, and which people should receive the selected notification.
Use a Full Access, Manager, or Supervisor account. The devices and recipient users or groups must already exist. For camera detection events, first complete Set up analytics and detection areas.
Create an alert workflow
This procedure covers notification actions for door and camera events. For lockdown configuration, use Create a lockdown plan; for operating a plan, use Activate lockdown and return to normal operation.
- Open the portal menu, select Workflows, then select Add Workflow.
-
In Trigger Type, choose the door or camera event you want to use from the available list. The fields that follow depend on that choice.
If Person Type appears, choose the available filter you need. For Known or Person of Interest, also select at least one person from the list. These people define the event filter; you choose notification recipients later.
- Under Devices, choose a Filter Type. Select Door or Camera when offered, then choose the devices in Select Door(s) or Select Camera(s). To use a location instead, choose Zone or Site and select the intended zones or sites.
- Under Time Range, choose 24 Hours or Active From - To. For a limited period, enter the Active From and Active To times. Select the Days of the Week, then choose Yes or No for Active on Holidays?
- Under Validity, choose Never Ends, or choose Expires On and set the expiry date and time.
- If Access Log Type appears, select the event types you want to include from its list.
- In Workflow Action(s), select the notification action or actions offered for your trigger: Send Email, Send Text Message, or Send In-app Notification. Each action is a separate choice; choose the channels you want to configure.
- Under Target Users for Workflow, choose Users or Groups. Select the recipients in Target User(s) or Target Group(s). If you choose a group, review its membership so the intended people are included.
- Enter a Workflow Description that identifies the workflow and its purpose. Use 4–100 characters. This description is how you can recognize the workflow in the list.
- Review the trigger, devices or locations, time settings, actions, and recipients. Select Add Workflow. After a successful save, Workflow Info. opens with the saved configuration.
For reading and clearing in-app alerts, see Read and manage notifications.
Edit a workflow
- Open Workflows and select the workflow to view Workflow Info.
- For a workflow with Active status, select Edit Workflow.
- Change the relevant fields and review the selections. Trigger Type is fixed when editing; create a separate workflow if you need a different trigger.
- Select Update to save the changes.
