Give an existing user access to the Anavio portal, select the role needed for their work, and limit that access to the intended sites. Portal roles control what someone can view or manage in Anavio.
Use the account owner's account or an authorized administrator who can manage the user and assign the intended role. Create the person first with Add and manage users. A person who only needs to enter doors does not need portal administration access for that purpose.
Choose a role for the work
Choose the least access that covers the person's responsibilities. The following is a task-oriented summary of the published role matrix, not a list of every permission.
| Role | Typical scope |
|---|---|
| Full Access | Account administration, including sites, zones, groups, adding devices, and lockdown setup. |
| Manager | Manage users, credentials, schedules, devices, and workflows; also has integration access. |
| Supervisor | Manage users, credentials, schedules, devices, and workflows; the published matrix does not include integration access. |
| Limited Access | Visitor tasks, search, reports, and Video Wall; users and devices are view-only. |
| Dashboard | Dashboard, Profile, and Video Wall, with view-only device access. |
See Permissions for user roles for the full matrix. Select from the roles available in your account; a lower-ranked administrator may not be able to assign a higher role.
Grant or change portal access
- Open People → Users and select the person.
- Open User Info. and find Basic Information.
- Confirm the user's email and mobile number. Complete the required contact fields before enabling access.
- Turn Portal Access on if it is off.
- Choose the intended Role.
- In Access Site(s), select the sites the person needs to administer or view. Remove sites that are outside their responsibilities.
- Select Update.
Use the same page to change the role or site selection later. If an expected role is unavailable, ask the account owner to make the assignment. For invitation, sign-in, or missing-menu help, see Create your account and sign in.
Keep portal permissions and door access separate
A portal role and Access Site(s) selection do not replace the person's door-access schedules or credentials. Use Set up groups and assign access to manage entry permissions and the appropriate credential guide to provide a face, card, mobile credential, or Cloud Key.
Similarly, authorization to activate a lockdown plan is configured in that plan. See Create a lockdown plan instead of assuming that a visible Lockdown button grants permission.
When someone leaves or changes duties, follow Remove a person's access to address portal access and entry credentials separately. Turning off Portal Access does not replace mobile-credential removal.
